Your primary responsibility will be to provide essential administrative and operational support to ensure that our projects and programmes run efficiently and effectively. You will be the backbone of our PMO function, establishing robust delivery operations processes, maintaining governance standards, and providing critical insights through comprehensive reporting and analysis. This role is entirely focused on internal operations and PMO excellence (100% non-billable support function). You will be instrumental in establishing and maintaining the frameworks, processes, and systems that enable our project and programme teams to deliver successful outcomes while ensuring compliance with governance standards and providing valuable business intelligence.
On a day-to-day basis, you will be working closely with Project Managers, Programme Managers, PMO leadership and stakeholders across all areas of the business, including Pre-Sales, Commercial, Consultancy, Support, and Finance. Your activities will include project setup and administration, portfolio reporting and analysis, governance monitoring, process creation and improvement, resource planning support, and maintaining project documentation standards. You will ensure that all projects have the operational foundation they need to succeed while providing leadership with the visibility required for informed decision-making.

You will play a crucial role in PMO governance, ensuring consistent application of methodologies, standards, and best practices across all projects and programmes while continuously improving our operational capabilities.
What you'll be delivering

Project Administration

  • Establish and maintain project setup processes, ensuring all new Projects in Dynamics 365 Project Operations are reviewed and set up in a standardised way
  • Ensure new projects have proper governance structures, filing systems, documentation templates, and operational frameworks in place
  • Coordinate project initiation activities, working with our Project and Programme Management team to ensure proper mobilisation and resource allocation
  • Support project closure activities, ensuring proper documentation, lessons learned capture, knowledge transfer and Net Promoter Score (NPS) surveys are sent out

Governance & Compliance Monitoring

  • Create and update Standard Operating Procedures and project documentation templates, ensuring consistency and compliance with organisational standards
  • Monitor adherence to project management methodologies, standards, and governance frameworks across all projects
  • Conduct regular project health checks and audits, identifying areas for improvement and ensuring compliance
  • Support internal PMO governance boards by preparing materials and tracking action items
  • Ensure proper risk and issue management processes are followed, maintaining central registers and escalation procedures
  • Monitor quality assurance processes and support continuous improvement initiatives
  • Coordinate with internal audit and compliance teams to ensure project governance meets organisational requirements
  • Support the implementation and maintenance of PMO standards and procedures

Reporting & Portfolio Analysis

  • Produce comprehensive portfolio reports, dashboards, and executive summaries for senior management and stakeholders
  • Create, configure and maintain dashboards, and reporting systems to support project and programme delivery
  • Track key risks, milestones and critical project information across the portfolio
  • Analyse project and programme performance data, identifying trends, risks, and opportunities for improvement
  • Maintain real-time operational portfolio visibility through automated reporting tools and regular data collection
  • Generate financial reports, budget tracking, and resource utilisation analysis across the project portfolio
  • Support forecasting activities by providing historical data analysis and trend insights
  • Develop and maintain key performance indicators (KPIs) and metrics for project and programme success
We think you'll be successful in this role if you have some of the following
  • PMO or Project Support qualifications (one of or a mixture of P3O, APM, PRINCE2 Foundation, PMI-PBA preferred) or strong equivalent experience in project administration
  • Proven experience in PMO operations and project support within a professional services or Microsoft Partner environment (or similar)
  • Strong analytical thinking, with the ability to interpret data and provide meaningful insights to support decision-making
  • Extensive experience in reporting and dashboard creation, with proficiency in tools such as Power BI, Excel, or similar analytics platforms
  • Strong process orientation, with experience in establishing and maintaining Standard Operating Procedures and governance standards
  • Experience in project management tools (Microsoft Project, Azure DevOps, Dynamics 365 Project Operations, or similar) and document management systems
  • Excellent organisational and administrative skills, with experience in managing multiple workstreams simultaneously
  • Strong attention to detail, with a structured and methodical approach to data management and process compliance
  • Self-motivated, proactive, and committed to continuous improvement and professional development
  • Strong communication skills, with the ability to present complex information clearly to stakeholders at all levels
